Navigating ETIAS and EES: Information for UK Business Travelers

If you’re planning a business trip to the EU, it’s essential to be aware of some significant changes on the horizon—the Entry/Exit System (EES) and the European Travel Information and Authorisation System (ETIAS)

What is EES?
The Entry/Exit System (EES) is a new protocol for non-EU travelers post-Brexit. Instead of having your passport stamped every time you enter or leave an EU/Schengen country, this digital system will log your name, travel document details, biometric data (like fingerprints and facial images), and your entry and exit dates. It’s designed to help monitor the 90-day maximum stay within any 180-day period.

Who Will It Apply To?
EES will apply to anyone traveling for a short stay from a “third country,” which means most UK travelers will need to comply. The good news is that Irish passport holders and British passport holders with EU residency will be exempt!

When Will EES Start?
Mark your calendars! The EES is scheduled to launch on November 10, 2024. However, there may be further delays as some EU member states might not be ready in time.

How Will It Affect Business Travelers?
As a business traveler, you’ll need to scan your passport at self-service kiosks each time you cross an EU border. It’s also wise to allow extra time for your journeys once the system is in place.

What is ETIAS?
The European Travel Information and Authorisation System (ETIAS) is a new requirement for travelers from visa-exempt countries heading to the Schengen Zone. The aim is to enhance security by centralising travel authorisations and monitoring visitor movements. Plus, there’s a small application fee of €7, which will help boost EU revenue—predicted to reach €200 million in 2025!

When Does ETIAS Come Into Effect?
ETIAS is expected to launch in Spring 2025. There may be a short grace period of 3-6 months where ETIAS won’t be mandatory to allow for any initial hiccups.

Who Needs ETIAS?
If you’re a UK traveler planning a short stay in the Schengen Area (up to 90 days within a 180-day period), you’ll need ETIAS. Once approved, your authorisation will be valid for three years or until your passport expires, giving you the flexibility to travel back and forth as long as you stick to the rules.

How to Apply for ETIAS
Online Application: The application is quick and easy to complete online—around 10 minutes! You’ll need a valid passport, an email address, and a debit or credit card for the fee. (Just a heads-up: the system isn’t live yet, so don’t fall for any websites claiming otherwise!)

Personal Information: Be ready to share your name, date of birth, nationality, and some health and travel history details.

Payment: The fee is approximately €7 for applicants aged 18-70, and payment is processed right away.

Approval Process: Most applications are processed within minutes, but it can take up to 96 hours, so it’s best to apply early!

Important Things to Keep in Mind
Application Accuracy: Fill out your application with current information and ensure payment is made. Any mistakes could lead to rejection.

Passport Validity: Different Schengen countries have varying passport validity requirements, so check carefully!

Border Checks: Even with an approved ETIAS, be prepared for potential questions at the border. If border guards have any concerns, they might refuse entry. It’s also possible there could be delays as everyone adjusts to the new system.

Final Thoughts
Once your ETIAS is approved, it will be linked to your passport and will allow multiple entries into the Schengen Area for three years or until your passport expires. It’s a great idea to stay updated, apply early, and ensure your passport is valid for at least six months beyond your stay.
